Registration and Financial Policies



  • Steps to Register:

    • Read through these policies!

    • Go to our Summer Programs page to choose your camp.

    • Complete the registration form. A different form must be completed for each camp.

    • Submit payment to secure your spot!

  • Early Registration: Register at least 2 weeks before a camp’s first day for the lowest rate

  • Late Registration: Registration made less than 2 weeks before a camp’s first day will incur an additional $25 processing fee. 

  • The final registration deadline is 11:59pm Monday during the week prior to the first day of each camp. Registration will close at midnight Tuesday and no late registrations will be accepted. 

  • For example, a camp with a first day of 7/13/20 would require registration on or before 6/28/20 to avoid the additional fee. Late registration would continue until 7/6/20 11:59pm.

  • Waiting List: If a camp is full, your registration will be added to a waiting list. Any cancelations will be filled from the top of this list by the Tuesday morning of the week prior to each camp. To be added to the waiting list, please call the CEC office at 541-753-9211.



  • Registration for camps are NOT secured until we receive a payment to hold your spot.

  • Payment methods:

    • Credit Card 

      • Pay online at the time of registration using a credit card (or PayPal.) This is our preferred method of payment.  You will be prompted to pay by credit card after registration.

      • Credit card payments can also be made over the phone by calling 541-753-9211, once registration has been completed.

    • Cash or Check: 

      • If paying by check, be sure to include what camp you are registering for and your child’s name in the memo portion. 

      • Payment can be dropped off or mailed to our downtown office: 

        • Corvallis Environmental Center, 116 SW 4th St., Corvallis, Oregon 97333 

        • There is a mail slot in the door for after-hours drop off. Be sure to put the check in an envelope.

        • Two-week payment deadline if family pays by check. 

      • Returned checks will incur a $35 fee.


2021 Summer Camp Scholarships - Apply by March 21st

We have a limited number of scholarships available for 2021 summer camp programs. The scholarship will provide a $125 discount to be used with any camp. To qualify, your child must be eligible for a free or reduced lunch or your family must have experienced significant financial hardship due to the pandemic. To apply, register for one or more summer camp weeks by March 21st and fill out the scholarship application. We will randomly select applicants to receive the discount and notify everyone by March 31, 2021. All applicants will be notified by email and invoiced for remaining fees at that time.


 Cancellations and Refunds:

  • If you must cancel your registration, please notify the Summer Camp Coordinator by emailing or calling 541-753-9211.

  • Refunds (less a $25 cancellation fee) are provided if notice of cancellation occurs prior to 11:59pm on Monday during the week before the first day of each camp. For example, a camp with a first day of 7/13/20 would require cancellation notice on or before 7/6/20 in order for a full refund to be provided.

  • If notice of cancellation occurs after this deadline, the camp payment is non-refundable.

  • Camp registrations may be moved to another camp week free of charge if requested before this deadline. After the deadline, a $25 administrative fee will be deducted.

  • No refunds will be given after a camp begins.  

  • In the case of a serious medical emergency such as a broken limb or a trip to the hospital, credit will be given toward future programs.  A fever, cold, or other general illness does not qualify as a medical emergency.

  • We reserve the right to withdraw a participant from a program due to misconduct on the part of the enrolled child or that child’s family member.  A refund will be submitted only for the remaining full days of camp. For example, a participant asked to withdraw on a Wednesday would be refunded for only Thursday and Friday.

  • We reserve the right to cancel programs with low enrollment. Full refunds will be given if we cancel a program for this reason.

  • No refunds will be given for any weather/natural disaster related camp closures, e.g., earthquakes, floods, excessive heat, etc.


Behavior Policy

In order to provide the safest and highest quality programming, participants, their family members, and our staff are expected to act in a way that is respectful to nature, all adults, and all children.

Violations of this include but are not limited to:

  • Actions that intentionally cause physical or emotional harm to another person

  • Destruction of property (private or public)

  • Inability to follow directions given by CEC program staff or program rules

In the event of a violation by a program participant, program staff will follow the 3-strike procedure:

  • 1st strike: Verbal warning 

  • 2nd strike: Removal from current activity (“Time out”). 

  • 3rd strike: Removal from current activity and discussion with parent/guardian. 


  • Intentional physical harm of another person will result in immediate dismissal from the program. Parents/guardians will be notified for pick-up.

  • Violations may be documented by staff in CEC Incident Reports, which must be signed by the participant’s parent/guardian.

  • Depending on frequency and/or severity of the violation, participants may be asked to completely withdraw from the CEC summer programs. This is at the discretion of the program senior staff (Summer Camp Lead or Executive Director).

  •  Any family who is withdrawn from an educational program due to misconduct on behalf of the enrolled child or that child’s family member will not receive a refund.


Program Requirements

Participants must arrive prepared with the following items, all labeled with their name:

  • A filled water bottle

  • Sturdy, closed-toe shoes- This applies during all activities, including water activities. Crocks, sandals, and flip flops are not considered safe for camp.

  • A packed lunch with extra snacks. We provide a morning snack.

  • Weather-appropriate clothes- Students must be prepared to be outside for all or most of the day.

  • Sunscreen, which must be applied at or prior to drop-off and kept with your student during the day. Students will be reminded to apply their own sunscreen throughout the day.

  • A towel, change of clothes, and bag for wet clothes- we may get wet every day!

 Parents must sign their child in and out each day and will be asked to provide photo ID at pick up. Only those authorized to pick up your child (provided by you at time of registration) will be allowed to do so.

Detailed information about your session will be emailed to you during the week prior to that session.

All belongings must be labeled with the participant’s name.  This will help us reduce the high volume of lost & found items at camp each week! 


Bike Camp Policies & Procedures

Please must bring the following items every day:

  • A bike with the following:

    • Tires suitable for varying terrains- wide tires and adequate tread (No road bikes or bald tires)

    • Functioning brakes

  • A properly-fitting Helmet 

  • A spare bike tube that fits their bike

Safety is our utmost priority! Program staff will uphold the following procedures to ensure safe, effective bike programming:

  • Participants will be grouped by biking ability/comfort level.

  • The first day of each bike camp will include a review of safe biking practices.

  • Participant groups will bike in single file or paired lines and always have 1 adult in front, 1 in back, and (when possible and depending on group size) 1 adult in the middle.

  • Staff will follow pre-established routes that prioritize bike paths as much as possible. When required to bike on roadways, we will choose low-traffic roads with bike lanes and sidewalks.

  • When crossing intersections, staff will follow crosswalk and traffic signals, and will have at least 1 adult stay in the road until all children have safely crossed.

  • Any participant that does not have a properly fitting helmet will not be allowed to bike.

  • All students will be required to carry their own gear while biking, including their water and lunch. Please pack lightly- no games, books, toys, etc.
